Job Description

We are looking for an Office Manager to join our growth agency.  This role can be split into 3 key parts: Office Administrator, HR support and Finance Support, each as valued and important as the other. Although we are looking for someone who can provide traditional support, we also want someone who wants to be more involved in the business as a whole. We are a rapidly growing business so we need someone proactive, keen on problem-solving and always one step ahead.

This role will be involved in monitoring day-to-day business operations, interacting with external partners and suppliers, improving business and employee performance, and analysing financial data. This role will deal with clients, produce financial reports, and track business expenses. Preparing financial reports where needed for annual budgets, scheduling expenditures and analysing variances. Maintaining office efficiency by planning and implementing new office systems, layouts, and equipment procurement. This role will support the Ops Director with help on staff recruitment, selection criteria, on-boarding, and training employees. 


Key responsibilities:

Office Administrator 

  • Booking travel & events (meeting rooms, spaces, speakers, travel etc)
  • Insurance
  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly
  • Ordering stationery and equipment
  • Maintaining the office condition and arranging necessary repairs
  • Booking in podcast activities
  • Process staff expenses
  • Managing CharlieHR and holiday requests
  • Help create a studio environment that all staff want to be in
  • Contribute to writing our company handbook

Finance Support

  • Credit control
  • Invoicing, credit notes, statements - XERO
  • Checking clients accounts and making sure accounts are reconciled correctly
  • Keep Float up to date
  • Support on databox reports
  • Updating and managing forecast sheet
  • Compiling and managing weekly Ops report (cashflow, money owed, money owing, sales pipeline etc)

HR Support

  • Recruitment support - booking interviews and candidate pool
  • Team engagement
  • Health and well being
